Hunt&Gather Market is a high quality, monthly boutique design market. Held on the third Saturday of each month at Foreshore Park in Newcastle East, Australia, from 9am till 2pm.

Pride Festival is an annual celebration of diversity and equal rights. Fair Day is held on August 25, at Foreshore Park, from 12pm till 4pm. Free to the public, family friendly day!

APPLICATION

Hunt&Gather Markets focus on products designed and/or made by the stallholder. All stalls must fit onto one of the Market categories, however we may also take other products on a case by case basis that offer a product mix that Market Managers deem to be in keeping with the style of Hunt&Gather Markets.

Counterfeit products will not be tolerated at any of our markets and monitoring takes place throughout the day.

STALLHOLDERS

No shared stalls unless requested by the applicant in writing and approved by market management in advance. Each stallholder must submit an application for their goods, and will be considered in the application process.

PRESENTATION OF STALLS

All stalls MUST be well presented, creative, and in keeping with the style of Hunt&Gather Markets. They must be neat & tidy and display signage of the designers logo/name where possible. Think interesting display units, rugs, flowers/plants, timber crates, tablecloths etc. be creative and have fun with it! Your stall needs to draw interest from customers. Incentives are awarded for the best presented stalls.

Offering eftpos where possible is advisable.

We strongly advise you provide a mirror and change room if you are selling clothes/jewellery.

Stallholders may be refused a spot if their presentation is not up to the markets standard. If you are unsure if your stall meets these requirements, or need help with your presentation, please contact the market managers.

EQUIPMENT

All stalls must bring a white gazebo/marquee, some exceptions include food trucks/trailers, or stalls using an umbrella. If a stallholder does not wish to use a gazebo they must include this request in their application.

Gazebo/marquee tops at Hunt&Gather Markets must be WHITE (Some food vendors may have coloured gazebos, and must be pre-approved by market management prior. Maximum AND minimum gazebo size size is 3m x 3m, unless otherwise approved on application.

Tables, gazebo, racks, signage and any other form of visual merchandise must be supplied by the stallholder. Please leave ugly plastic tables, blue gazebo tops, tarps and camp chairs at home!

STALL SIZES

Hunt&Gather Markets - Stalls occupy a 3m x 3m space (excluding food trucks and trailers). You may request to book 2 stalls next to each other should you require more space. Please note that you will be charged for 2 stalls

LIVE MUSIC

All musicians must be booked prior to event day. We do not accept performers/buskers who have not been pre-approved by market management.

Stage gigs are paid, details will be discussed after we receive your application. Artists on stage may collect tips, sell albums, and use small approved signage to advertise social media contacts.

Buskers are required to provide their own microphone and amp. Buskers may collect tips, sell albums, and use approved signage to advertise social media contacts.

SET UP & PACK UP

Stallholder rubbish must be taken with the vendor, bins on site are for public use only, and may not be used by stallholders to dump old clothes, shoe boxes, racks, mirrors, display items etc etc etc. If stallholders do not abide by these rules, then refusal to trade at future markets will be issued and waste removal fines apply.

NO vehicles may enter the park at any time. Food & Beverage stalls are the only exception and must be confirmed upon confirmation of application.

Bump In / Out Timeline

  • All food vendors who require vehicle access to the park for set up MUST arrive no later than 7am, and their vehicles MUST be removed from the park no later than 7:30am with no exceptions

  • All other stalls to arrive from 7:30am, and NO LATER than 8:30am

  • Musician arrival times TBC with market managers prior to the market

  • For all stalls (excluding Food Vendors), there is no need to arrive any earlier than 7:30am. We suggest to give yourself at least an hour to set up your stall

  • Stallholders who do not arrive by 8:30am may have their stall re-allocated and/or forfeit their stall space/fees with no refund

  • Stallholders will be allocated a stall number and general location by email prior to market day, along with the best entry point to unload. When you arrive on market day please go straight to your stall space and begin set up. If you have any queries please see staff at the market office

  • Stalls must be ready to trade at 9am sharp

  • Trade ceases at 2pm AND NO EARLIER. All stall spaces must be vacated and left in their original condition by 3pm sharp.

PUBLIC LIABILITY INSURANCE

Please note that it is a strict requirement that ALL Stallholders must have in place a PUBLIC LIABILITY policy with a minimum of $20million cover in the Stallholder's name, listing Hunt&Gather Events as an interested party.

A copy of the Insurance Certificate of Currency must be supplied to the Manager before a Stallholder may trade at the Market. It is the responsibility of the Stallholder to ensure that the insurance is renewed and remains current for the term that the Stallholder undertakes Trading Activity at the Market.

PRODUCT LIABILITY INSURANCE - CERTAIN PRODUCTS

Please note that it is a strict requirement that a Stallholder must have in place a PRODUCT LIABILITY policy with a minimum of $20million cover in the Stallholder's name if the Stallholder offers for sale any of the products listed below.

  • Second hand electrical goods & toys

  • Cosmetics & beauty products

  • Medicines, Potions, Oils, Fragrances & Soaps

  • Massage, manipulation of muscle, chiropractic or similar

  • Hot Food

A copy of the Insurance Certificate of Currency must be supplied to the Manager before a Stallholder selling the above products may trade at the Market. It is the responsibility of the Stallholder to ensure that the insurance is renewed and remains current for the term that the Stallholder undertakes Trading Activity at the Market.

WEATHER

Hunt&Gather Markets is an open air market and operates rain or shine. It is the responsibility of the stallholder to bring their own shelter for protection against sun or rain if required.

STALLHOLDER CANCELLATION POLICY

Each market has a limited stall capacity, when a booking is made this reduces the availability for other stallholders. When a stall is cancelled on short notice, it is difficult to replace the booking. As a result, Hunt&Gather has the following cancellation policy:

  • In the case that a stallholder needs to cancel, if the stallholder notifies market management by email giving over 10 days notice (by 9am on the Wednesday prior to Market day) stall fees may be transferred to the next consecutive market date. If the stallholder cannot attend the next consecutive market date, the credit is forfeited.

  • In the case that a stallholder cancels within 10 days of a market (after 9am on the Wednesday prior to Market day)  they must notify market management by email or text. No refunds or credits are provided.

  • No cash or EFT refunds are provided.

WET WEATHER CANCELLATION POLICY

  • In the event that a market is cancelled by market management (due to external factors such as extreme unsafe weather), all confirmed stallholders will be contacted by 6am on the morning of the event. 

  • Hunt&Gather management reserve the right to change venue or postpone the market as an alternative option to cancelling the market.

  • No cash, EFT refunds or credits are provided.

ACCESS TO POWER

Hunt&Gather Markets is a powerless event. If you require power you may bring a silent generator, but this must be approved by market managers on application.

RUBBISH & WASTE

All rubbish, waste and packaging must be taken away with the stallholder. Bins provided do NOT cater for stallholder rubbish and may not be used by stallholders to dump old clothes, racks, display items etc. The stall site must be left in the condition it was found.

Foreshore Park is a public place for everyone to enjoy, please treat it as you would your own home, and please respect the neighbours and local community.

PARKING

Please do not park illegally, double park in traffic lanes, queue across traffic intersections, undertake illegal U turns or traffic manoeuvres, or otherwise hinder traffic in the streets surrounding the market during set up or pack up.

Once you stall is set up, we strongly suggest you move your vehicle to avoid parking fines and to allow customers to park near the markets.
NO VEHICLES MAY ENTER THE PARK/VENUE AT ANY TIME.

Rummage - We are looking for good quality mens and womens pre-loved & vintage fashion and accessories. We are looking for designer labels, not mass produced, low quality chain store labels.

Strictly no - kidswear, toys, homewares, books, plants, art and bric a brac.

Counterfeit products will not be tolerated at any of our markets and monitoring takes place throughout the event.

Table hire can be included to display accessories such as jewellery, accessories, footwear.

We strongly advise you provide a mirror.

EQUIPMENT

Racks, signage and any other form of visual merchandise must be supplied by the stallholder.

Tables are available for hire. Please see below pricing info for hire. Hire stock is limited and based on a first in first served basis. To hire, please email market management upon application. Hire fees will be included in the stallholders invoice. Space for a table is not included in the rack only stall fee.

No gazebos allowed as this event is indoors.

  • Stalls must be ready to trade at 4pm sharp. Only one person per rack prior to opening, and friends helping must vacate by 3:30pm.

  • Trade ceases at 8pm (NO EARLIER). All stall spaces must be vacated and left in their original condition by 10pm

PUBLIC LIABILITY INSURANCE

Stallholders are covered by Hunt & Gather Public liability Insurance Policy.

Product insurance is not offered, any stallholder who wished to have product insurance my supply their own policy. Hunt & Gather does not take responsibility for any loss or damage to stallholder products.

STALL FEES

  • All stall fees include GST and Public Liability Insurance.

  • All stall fees are per person. No shared stalls.

We are looking for high quality food stalls who use fresh produce and have great stall and product presentation! We are looking for food artisans who specialise and excel in their food type. We are looking for friendly stallholders who are happy to be part of our team, support their fellow stallholders, and share their knowledge and love of food with others!

Stall site numbers and the bump in/out document will be sent to all confirmed stallholders in the week leading up to market day.

SITE SAFETY RULES

  • No pegs to be driven into the lawn

  • Marquees and temporary structures must be adequately secured with weights

  • Stallholders must not exceed the boundary of their site

  • Approved vehicle access is via driveway on Wharf Road ONLY

  • No access, or items to be attached to, the heritage listed signal box on site

  • Only use powered tools and equipment that have been appropriately tested and tagged by a qualified electrician. Records to be maintained by the stallholder

  • Electrical leads are not to present potential slip/trip hazards

  • Gas bottles (where used) must be within inspection period dates

  • Report all safety incidents immediately to market management at the site office

FOOD SAFETY

All hazardous food suppliers (temperature controlled food and/or food not sold in manufacturers original packaging) must have their food safety supervisor certificate. This certificate must be available on request at every market.

Food inspections may occur occasionally, if a stallholder is inspected the inspection fee will be collected by market managers at the current market, which will then be paid to the NSW Food Authority, by Hunt&Gather Events, on the stallholders behalf.

All stallholders preparing food on site must be registered with Newcastle City Council.

Stalls occupy a 3m x 3m space (excluding food trucks and trailers). You may request to book 2 stalls next to each other should you require more space. Please note that you will be charged for 2 stalls

SET UP & PACK UP

Stallholder rubbish must be taken with the vendor, bins on site are for public use only, and may not be used by stallholders to dump old clothes, shoe boxes, racks, mirrors, display items etc etc etc. If stallholders do not abide by these rules, then refusal to trade at future markets and events and will be issued and waste removal fines apply.

NO vehicles may enter the park at any time. Food & Beverage stalls are the only exception and must be confirmed upon confirmation of application.

Please note that it is a strict requirement that ALL Stallholders must have in place a PUBLIC LIABILITY policy with a minimum of $20million cover in the Stallholder's name, listing Hunt&Gather Events as an interested party.

A copy of the Insurance Certificate of Currency must be supplied to the Manager before a Stallholder may trade at the Market. It is the responsibility of the Stallholder to ensure that the insurance is renewed and remains current for the term that the Stallholder undertakes Trading Activity at the Market.

Please note that it is a strict requirement that a Stallholder must have in place a PRODUCT LIABILITY policy with a minimum of $20million cover in the Stallholder's name if the Stallholder offers for sale any of the products listed below.

  • Second hand electrical goods & toys

  • Cosmetics & beauty products

  • Medicines, Potions, Oils, Fragrances & Soaps

  • Massage, manipulation of muscle, chiropractic or similar

  • Hot Food

A copy of the Insurance Certificate of Currency must be supplied to the Manager before a Stallholder selling the above products may trade at the Market. Licenses

Stalls selling liquor must carry appropriate lisencing - Producer Wholesaler lisence. And must comply with all liquor lisencing laws. Please see website liquorandgaming.nsw.gov.au for details.

Approved stallholders are required to pay your stall fee in full, one week after invoicing. Invoices are sent to approved stalls with instruction on how to make payment. Approval will lapse if payment is not made within this period. Once payment is made the stall is confirmed.

WEATHER

Sunset Gather is an all weather event. It is the responsibility of the stallholder to bring their own shelter for protection against sun or rain if required.

STALLHOLDER CANCELLATION POLICY

Each market has a limited stall capacity, when a booking is made this reduces the availability for other stallholders. When a stall is cancelled on short notice, it is difficult to replace the booking. As a result, Hunt&Gather has the following cancellation policy:

  • In the case that a stallholder needs to cancel, if the stallholder notifies market management by email giving over 10 days notice stall fees may be transferred to the next consecutive market date. If the stallholder cannot attend the next consecutive market date, the credit is forfeited.

  • In the case that a stallholder cancels within 10 days of a market they must notify market management by email. No refunds or credits are provided.

  • No cash or EFT refunds are provided.
     

WET WEATHER CANCELLATION POLICY

  • In the event that a market is cancelled by market management (due to external factors such as extreme unsafe weather), all confirmed stallholders will be contacted by 6am on the morning of the event. 

  • Hunt&Gather management reserve the right to change venue or postpone the market as an alternative option to cancelling the market.

  • No cash, EFT refunds or credits are provided.


ACCESS TO POWER

Sunset Gather has limited power. If you require power you may bring a silent generator, but this must be approved by market managers on application, or you may apply for power on application.

RUBBISH & WASTE

All rubbish, waste and packaging must be taken away with the stallholder. Bins provided do NOT cater for stallholder rubbish and may not be used by stallholders to dump old clothes, racks, display items etc The stall site must be left in the condition it was found.

Gregson Park is a public place for everyone to enjoy, please treat it as you would your own home, and please respect the neighbours and local community.

PARKING

Please do not park illegally, double park in traffic lanes, queue across traffic intersections, undertake illegal U turns or traffic manoeuvres, or otherwise hinder traffic in the streets surrounding the market during set up or pack up.

NO VEHICLES MAY ENTER THE PARK/VENUE AT ANY TIME.

All stalls MUST be well presented, creative, and in keeping with the style of Hunt&Gather Events. They must be neat & tidy and display signage of the designers logo/name where possible. Think interesting display units, rugs, flowers/plants, timber crates, tablecloths etc. be creative and have fun with it! Your stall needs to draw interest from customers.

Offering eftpos where possible is advisable.

We strongly advise you provide a mirror and change room if you are selling clothes/jewellery.

Stallholders may be refused a spot if their presentation is not up to the markets standard. If you are unsure if your stall meets these requirements, or need help with your presentation, please contact the market managers.

All rubbish, waste and packaging must be taken away with the stallholder. Bins provided do NOT cater for stallholder rubbish and may not be used by stallholders to dump old clothes, racks, display items etc. The stall site must be left in the condition it was found.
